What is a guest experience, and why plan it?
The guest experience is everything your guests actually notice. How easy it was to reply, whether they knew where to go, how quickly they found their seat, and how included they felt once they got there. Almost all of it comes down to small practical steps taken at the right time. This checklist turns your event into a list of those steps, so none of them get remembered the night before.
The three stages that matter
- Before the event. The set-up: invitations, replies, seating, dietary requirements and whatever pages guests will use on the day.
- Before arrival. The last few days: directions, timings, parking, final numbers to your caterer and one clear reminder.
- At the event. The moment itself: signage, finding seats, the running order, and capturing what happened.
How this checklist is built
Every item comes from your answers. Say you are assigning tables and expecting a big crowd, and it adds steps for a table finder and for entrance flow. Say you are not collecting photos, and those steps never appear. Edit your answers and update, and the list rebuilds while keeping the steps you have already ticked off. Your progress is saved on your device, so you can work through it over days rather than in one sitting, then download or print a clean copy when you are ready.
What we do, and what we do not

The untagged steps are not us, and this tool will not pretend otherwise. Sending the invitations, getting final numbers to your caterer, signage on the day, the thank-you afterwards: those are yours. They are on the list because your guests notice them, and you should handle them somewhere, even if that somewhere is a spreadsheet and a group message.
The steps guests notice most
If you only fix a few things, fix the ones with a queue behind them. Guests arriving at a printed seating board is the classic pinch point, because everyone hits it within the same ten minutes and the people at the back cannot see the board at all. Clear directions between two venues is the other one. Most of the rest of the list is quiet work that nobody notices when it is done properly, which is rather the point.
