One workspace for every client event you run

Event Bundles are how planners, venues and agencies run client events on MyGuestWork. Buy 3, 10 or 20 events with one payment and use them whenever you need. Every event gets everything in Premium, and you can invite each client to work on their own event while billing, deleting and access stay with you.

Event Bundles Bundles of 3, 10 or 20 events, paid once. Events never expire. See Event Bundle pricing

Sophie & James and Shenji Wedding are demo events; the other two events are made up.

How to run client events from one workspace

Four things to do once, then every new client is one more event on the same dashboard.

  1. Choose an Event Bundle

Pick a bundle of 3, 10 or 20 events. You pay once, and the events never expire.

  2. Create an event for each client

Press New event and set it up. Each one uses one event from your bundle.

  3. Invite your client

From Client Access, enter their email and send the invite. They sign in with that email and see only their own event.

  4. Plan it together

You and your client work on the same guest list, seating, invitation and live site (the page guests open from their QR code), so there is one version, not a string of spreadsheets.

Working with your clients

Your client knows who is coming. You know how the event runs. Client access lets each of you do your part.

What your client can do

Everything inside their own event:

  • Add and edit guests
  • Arrange the seating
  • Design the invitation
  • Follow the RSVPs
  • Style the live site

They see only the events shared with them.

What stays with you

The decisions that are yours:

  • Billing and credits
  • Deleting the event
  • Ownership
  • Who else has access

Clients cannot invite anyone else. You can revoke their access at any time and invite them again later.

Client Access for the Sophie & James demo event, with made-up email addresses.

Each invite goes to one email address, and your client signs in with that address. A pending invite expires after 7 days, and you can resend or cancel it from Client Access.

Your team and your events

Everyone on your team has a role: Owner, Admin or Member. You pick it when you invite them, and you can change it later from the Team page. Clients are the people you invite to their own event, and every client has the same access.

Every event sits on one dashboard. Search by event, guest, client or location, filter to upcoming or completed, and sort by date or name. Each card shows the date, the guest count, how far setup has got with the next thing to do, and whether the client has joined.

Bring your next client into a workspace

Choose a bundle of 3, 10 or 20 events, invite your team, and give each client access to their own event.

Every event gets everything in Premium

Event Bundle events are created with the full Premium set, so there is nothing to upgrade.

Optional: a custom MyGuestWork URL for the live site

Every event's live site, the page guests open from the QR code, starts on a standard MyGuestWork link, and that is all an event needs. If you want a tidier address, give it a custom MyGuestWork URL with your business name and the event's name in it.

Several events can share the same business name. Once set, the URL is locked so the QR codes and links you have sent keep working, and changing it later is a deliberate step. Anyone working on the event, including your client, can set it.

Optional: white-label the live site with your own domain

Event Bundles Instead of a MyGuestWork address, you can put an event's live site on a domain you already own, like guests.yourdomain.com, so guests see your business name rather than ours. It is an option for any Event Bundle event, and the standard MyGuestWork link stays the default until you set one up.

A workspace owner or admin sets it up for each event, on a subdomain such as guests or party.

  • Your main website and email are not affected.
  • Nothing changes until the address works, and the MyGuestWork link keeps working as a backup.
  • RSVP and invitation links stay on MyGuestWork.

Bundles, billing and extra events

Choose a bundle of 3, 10 or 20 events: Starter, Professional or Agency. Each is a one-off payment, and the events never expire.

  • 3eventsStarter
  • Best value20eventsAgency

An event uses one from your bundle when you create it, and the dashboard shows how many you have used and how many are left. Events you have not used never expire.

If you run low, buy another bundle at any time, or a single extra event inside the app.

For more than 20 events, contact us about custom pricing. Prices for your currency, including extra events, are on the pricing page.

Who uses Event Bundles: venues, planners and corporate teams

The same workspace fits whoever runs the events.

Venues

A venue hosting events most weekends gives each booking its own event. The client manages their own guest list and seating, and every date sits on one dashboard for your coordinator.

  • An event for each booking
  • Clients manage their own guests
  • Every date on one dashboard

Event planners and agencies

Each client works on their own guest list, seating and invitation, while your team works on every event from one dashboard. Billing, deleting events and access stay with you.

  • Client access for each event
  • Owner, Admin and Member roles
  • An optional custom URL for each event

Corporate and conference

Corporate and conference planners use the same workspace, with tables renamed to rooms or booths and the name search optional. A conference over several days can seat people differently for each session.

  • Tables renamed to rooms or booths
  • Name search optional
  • A day for each session

Function centres and hotels

A function centre running several events a week gives each one its own event, with its own floor plan and menu, and every booking on one dashboard for your team.

  • A floor plan and menu for each event
  • Roles for your team
  • Search, filter and sort every event

What Event Bundles do not include

  • No copying events or templates

Each event is set up on its own. Floor plans, menus and tables are not shared or copied between events.

  • No moving or handing over events

An event stays in your workspace. Your client keeps their access until you remove it.

  • No edit history

You cannot see who changed what. Everyone with access to an event can edit it.
