Collect every guest's photos and videos from one QR code

Guests upload photos and videos from the Photos tab on the live site they opened from your QR code, with no app and no login, and you keep them private or open a shared gallery. Photo sharing is on Premium and Event Bundles, and you can download everything as a ZIP.

The Photos tab of a live site on a phone, beside the host's Media settings. Private, the default: guests read Capture the moment, with a camera button and Choose from your phone, and a note that only the hosts will see their photos. Shared gallery: the host turns on Allow guests to view event gallery, the note goes, and View the gallery appears with a strip of photos and videos from guests.

What guests can upload

  • 25 MBper photo
  • 100 MBper video, in MP4, MOV or WebM
  • 10files at a time, photos and videos mixed
  • 2,000photos and videos per event

Camera roll uploads are on by default. Turn them off and the Photos tab only offers the camera, so guests on their phones share photos taken there and then, not last year's holiday.

On an event that runs over several days, every day's uploads go into the same gallery. See multi-day events.

How guests share photos from the QR code

The best photos of any event are spread across a hundred phones, and most of them never leave. Guests send theirs from the page they already have open, with nothing to install and no account to make.

  1. Check your media settings

Guest uploads are on by default on Premium and Event Bundles. In Media settings, choose whether guests can pick from their camera roll and whether they can see the shared gallery.

  2. Decide on names

Guests can add a name to what they upload. Change what the field asks for (a team for a company day, a table number for a gala) or make it required.

  3. Guests scan and share

On the Photos tab, guests tap the camera button to take a photo or video, or choose from their phone, then send.

  4. Collect and download

Every upload lands on your Event Photos page. Filter by photos, videos or uploader, open any item, and select any number to download as a ZIP, or up to 100 at a time to delete. Download the lot as a ZIP when the event is over.

Private, or shared with everyone

Some hosts, like a couple using a QR code for wedding photos, want every photo for themselves first. Others want the whole room swapping pictures during the event. It is one switch in Media settings, "Allow guests to view event gallery", and it is off until you turn it on.

With the gallery open, guests can browse everyone's photos and videos and save the ones they want, up to 10 at a time. They never see who uploaded what, and cannot delete or change anything.

The guest gallery

The Photos tab takes your colours and title font from your live site design. With the shared gallery on, it shows a View the gallery button with how many photos and videos guests have shared. In the gallery, guests can:

  • switch between All, Photos and Videos
  • see uploads grouped by day on a multi-day event
  • open any photo full screen, or play a video
  • save up to 10 at a time to their phone
  • tap Add yours to take another photo straight away

After the event, turn uploads off and leave the gallery on. The Photos tab becomes "Moments from the day", a gallery guests can keep browsing with nothing new added.

What guests see: the shared gallery
The host's Event Photos page on desktop: Total uploads 8, Photos 8, Videos 0; Event Photos with Media settings, Select and Download all; tabs for All, Photos, Videos and Uploaders; and a grid of the guest photos, each with its upload date.

Every guest's photos, from the QR code they already scanned

Guest uploads are on by default on Premium and Event Bundles. Guests share from their phone, and you download the lot as a ZIP when the event is over.

Limits of guest photo sharing

  • No approval step. Uploads are saved as soon as they are shared, and if the shared gallery is on, guests see them straight away. Remove anything you do not want from your Event Photos page.
  • No video editing or compression. Videos are stored as they were uploaded. Photos are saved at up to 3840 pixels on the longest side, which keeps them sharp for prints and albums, and location data is removed.
  • Up to 2,000 photos and videos per event. Each upload takes up to 10 files and 300 MB, with up to 25 MB per photo and 100 MB per video.
  • No upload alerts. You are not emailed when someone uploads.
  • We do not print photos. Download them and use whichever printer or album service you like.

Guest photo sharing questions
