What changes when an event runs across days

Three things get harder, and they are the three things this solves.

Not everyone is invited to everything. The mehendi is forty people. The reception is four hundred. Your team dinner on night one is not the same room as the awards night on night two. You need one list where each person is marked for the days they are actually coming to.

People sit differently each day. The family table at the ceremony is not the family table at the reception. A conference delegate sits at one table for the opening lunch and another for the gala dinner.

Guests need to know which is which. A guest arriving for the sangeet should not be shown the reception plan.

How to set up a multi-day event

Create your event and add your days

Turn on multi-day when you create the event and say how many days you have. Name each one however you refer to it. Sangeet, Day 2, Opening Night, Awards Dinner. You choose whether they are called days, events or functions, so guests see your wording rather than ours. Each one can carry its own date and venue. You can have up to ten.

Add your guest list once

Import a CSV or Excel file, or add people by hand. Only a first name is required. The list belongs to the whole event, not to any one day.

Choose who is invited to what

Go through your list and mark who is coming to which days. Invite everyone to a day in one action, or pick specific people. Someone who is only coming to the reception is on the reception list and nowhere else.

Seat each day

Each day gets its own tables and its own seating. The same person can be on table 4 at the ceremony and table 12 at the reception.

One QR code for the whole event

Print one code. A guest scans it, chooses which day they are there for, and sees that day's seating, menu and floor plan.

Who this is for

Wedding weekends

A welcome dinner on Friday, the wedding on Saturday, a brunch on Sunday. Different people at each, different tables at each, one code on the welcome sign.

Indian and South Asian weddings

Mehendi, haldi, sangeet, the ceremony and the reception, often across different venues and sometimes different cities, with a different guest list for each function. Large lists, and seating that is a family question rather than a logistics one.

Conferences and multi-session programmes

Invitations and replies, day by day

Each guest is asked only about the days they are invited to, from an email invitation or an Indian wedding e-invite on WhatsApp. Tapping Attending opens a yes or no for each one, and a "Coming to everything?" shortcut answers for the whole party across every day in one tap.

Reminders work the same way. A guest who has replied about some days and not others gets a reminder that says so: "Thanks for replying about Mehendi and Sangeet. We're still waiting to hear about the Reception."

For a group chat, a shareable RSVP link can cover every day or only the ones you pick. One link for the mehendi group, another for the reception crowd, and each person who replies is invited to those days only.

The screen guests see first

After scanning, guests choose their day. That screen can carry its own intro line, a short instruction, the dates if you want them shown, and a cover photo as a band across the top or behind the whole screen. It is styled with the rest of your guest page design.

The printed code stays the same

This matters more on a multi-day event than a single one, because there is more to go wrong between now and the day.

The code points at your event, not at a fixed plan. Move someone between tables, add a late RSVP, rename a function. The code on the sign keeps working and guests see the current version the next time they scan. Nothing gets reprinted. It only changes if you change your event link.

What it does not do

Worth saying plainly.

  • Tables, not individual seats

    Guests are assigned to a table, not a numbered chair. For most events that is what people actually need to know, and it means you can move anyone at any time without re-lettering anything.

  • Multi-day is on the Premium plan
