How to make a QR code sign for your event

A good event sign does one job well. It tells guests what to do, and gives them an easy way to do it. A QR code turns a printed sign into a doorway to something live, like your seating chart, a photo gallery or your RSVP form, with no app to install and no long link to type. This generator builds the whole sign for you, sized to print cleanly at home or at a print shop.

1. Choose what the sign is for

Start with the purpose. A table-finding sign belongs at the entrance. A photo-sharing sign works better on every table. An RSVP sign goes on your save-the-dates. Picking a purpose fills in a heading and instruction, which you can then reword so it sounds like you.

2. Add your details and link

Enter your event name, a heading and a short instruction. The destination link is wherever the code should send guests: your MyGuestWork event page, a shared album, a form, or any other web address. The code redraws as you type, so you can check it points to the right place before anything gets printed.

3. Download and print

Pick a format that fits where the sign will go, from an A4 entrance poster down to square table signs, A6 place cards and hand-out business cards. Export a print-ready PDF, or a high-resolution PNG to hand to a designer or print shop. Print on heavier stock, put it in a frame or on an easel, and you are done.

A printed QR code is permanent. The page behind it is not.

This is the part worth understanding before you print anything. A QR code is a fixed pattern. It encodes one web address, and that address can never change once the sign is printed. That is true of this generator and of every other one. What you can still change is the page that address opens.

So point the code at a page you control. If the destination is a MyGuestWork event page, you can move a guest to another table, fix a misspelled name or shift a start time, and anyone scanning the sign you printed weeks ago sees the current version. Point it at a static file or a link you cannot edit, and the only way to correct anything is to print the sign again.

What makes a QR sign guests actually scan?

Keep the heading to a few words and the instruction to one clear line. Give the code room to breathe, with plenty of quiet space around it, and print it large enough to read from where people will be standing. Test it with your own phone first, at roughly the distance and lighting of the real thing. A code that scans on your desk at arm's length can still fail on an easel in a dim foyer.
